How To Record A Rent Payment

The rent management feature is one of PaTMa's free tools available with all property management packages. It allows you to keep track of any payments and additional details relating to the agreements made with a specific tenant.

Using this tool, you can record the unit, starting date, deposit/deposit scheme and rental periods. However, before you get started on recording your first rent payment, make sure to have created a property and recorded the tenancy agreement associated with the property. This will unlock a new feature that is essential for recording any new rent payments.

Getting Started

  • In the header, navigate to - Navigate to Properties.

You will be redirected to a page displaying the property's information.

  • In the third left column, click View Tenancy.

On the page, details of the tenancy agreement and a New Tenancy Checklist will be presented.

  • Scroll to the bottom of the page and locate the column titled Rent Record and click + beside the pending payment you wish to add to.

Alternatively

  • Navigate to Properties .

Note: This is located in the header of the website, as shown below.

Your properties will be displayed on the screen, listed with the name, address, rent due and the new feature Add rent payment. . - On the property display, click Add Rent Payments you wish to add a payment to.

Note: In this example, 'Vunder Heights' is a House of Multiple Occupants. With the free version of PaTMa, you can only management one property at a time. To add more than one property to your account. Upgrade to a Premium Account.

You will be redirected to a page displaying a form that you will need to fill in with the tenancy agreement details.

Filling In The Form

Date Received
In this field, add the date the rent payment was received.

  • On the popup calendar menu, select the relevant Day/Month/Year.

Amount In this field, add the numerical value of the rent payment received on the day. (ie. £3,000)

Notes If there are any additional details that you wish to record that are not specified in the fields, you may add any general tenancy notes in this field,

  • Once completed, click Save.

To review the edits made, click View the Active Tenancy you wish to view. Scroll to the bottom of the page, and all payments will be displayed.

Adding Rent Adjustments

After you've created your first tenancy agreement, you can now record advanced information that will be associated with the property, such as the rent adjustments. This feature is used to offer discounts or charge the tenants extra for a limited periods.

  • Navigate to Properties > Property Name > View Tenant.

  • Scroll to the bottom of the page, to locate the Rent Adjustments section.

  • Click Add Rent Adjustment

You will be redirected to a form page that you may fill in.

Filling In The Form

Date

In this field, enter the date the discount/charge is due using the calendar tool provided.

Amount

To account for a discount, use a negative figure or extra by entering a positive amount.

Description

This field is essential, enter a brief desciption of why this charge was initiated.

Expense

Allocate the expense that this is adjustment is relevant to.

Note: How to Record An Expense

  • Once completed, click Save.
